Nayax Core guides operators through six setup stages. This FAQ and troubleshooting section provides answers and solutions to common challenges that may occur along the way.

Nayax Core Getting Started
Common questions about your account, operators, machines, and devices

Your login credentials are provided by your local Nayax distributor or account manager when your account is created. Use the email address and temporary password they supply to log in. You will typically be prompted to set a new password on first login. If you have not received credentials, contact your distributor or account manager before proceeding.

Nayax Core uses role-based access control. Your assigned role determines which tabs, buttons, and settings are visible to you, ranging from read-only viewer through to full administrator.

If a tab or setting described in any guide is not visible to you, your role most likely does not include permission for it. See User Roles and Access Levels Explained for a full breakdown, or ask your system administrator to review your access level.

Nayax Core supports two MFA methods:

MFA setup is part of the setup and should be configured before moving to later setup stages.

Your default homepage is the first screen you see after logging in. Follow How to Set Your Nayax Core Default Homepage to change it.

In Nayax Core, an Operator is your business profile - the entity that owns and manages machines. Payment methods, work schedules, alerts, and e-receipt settings are all configured at the operator level and apply to all machines under that operator. Operator configuration must be completed before you can create machines.

A machine is the logical record in Nayax Core - it holds the location, settings, and transaction history for a physical unit. A device is the physical Nayax payment hardware (e.g., a VPOS unit) connected to that machine. You create the machine first, then connect the device to it.

A Technician Card allows field staff to perform predefined actions directly at a machine - such as accessing the technician menu, sending DEX data, or updating unit settings - without needing full Nayax Core login access. Technician cards are created in the Consumers section. See How to Create a Technician Card for setup steps.

Machine Attributes control how individual devices behave - including language, audio settings, idle screen display, custom branding images, and technician mode access.

Note: Some attributes are only available in New Core. If an attribute setting is missing, confirm you are not on Classic Core before contacting support.

KYC (Know Your Customer) is a regulatory identity verification process. Nayax must verify your business identity before enabling live payment processing on your account. This is a legal requirement for financial services, not an optional step.

Until your KYC is approved, your account can be fully configured - but payment features will remain inactive. Contact your local Nayax distributor or account manager to check your KYC status.

Device connection is covered in the How to Connect a Device to Your Machine section. The machine record must already exist before a device can be linked to it.

Yes. Device transfers between operators are handled in Administration. See How to Move Devices Between Operators. This is an Administration-level action - confirm you have the required access role before attempting it.

Firmware upgrades are scheduled from the Operations tab. See How to Schedule a Firmware Upgrade. You can schedule upgrades for individual devices or apply them across a machine group.

Machine groups let you organize machines by location, type, or any grouping that suits your operation. Create a group by following How to Create a Machine Group. Groups make it easier to apply settings, run reports, and manage large fleets.

Check the color of the navigation bar at the top of the screen. A black navigation bar with yellow accents means you are on New Core. A blue navigation bar means you are on Classic Core. You can switch between versions using the toggle in the top-right corner of the screen.

Use New Core for all new setups. It includes the full feature set and all guides in the Getting Started series are written for New Core. Classic Core is a legacy interface maintained for operators who have not yet migrated. If you are starting fresh, there is no reason to use Classic Core.

Before raising a support request:

  • Confirm which version you are on.
  • If on Classic Core, switch to New Core using the toggle and check again.
  • If already on New Core and the setting is still missing, the issue is likely a user role / permissions restriction. Check with your system administrator.

No. You can't complete any onboarding while your KYC is pending.

Nayax Core access is all dependent on KYC status. Live payment processing simply will not activate until verification is approved.
