Managing Machine and Device Status in Nayax Core
Scenario: You have a vending machine in a university canteen that is being taken offline for 2 weeks of refurbishment. Your billing cycle runs monthly.
If you leave the card reader active, you’ll be charged for those two weeks, whether it processes a single transaction or not. You need to stop billing while keeping the machine record intact on your dashboard.

A logical profile in your dashboard. Deactivating it hides it from your active view, but your card reader keeps billing.

How to Activate or Deactivate a Machine

The physical card reader registered to your account. Setting it to Not Active removes it from your billing plan.

How to Set a Device to Inactive | Stop Billing

Important: Deactivating a machine does not deactivate the device. To stop billing for a card reader, you must complete the device deactivation separately under Administration ► Devices.

    Go to MachinesClick Operations in the top navigation bar, then select Machines from the dropdown.

    Search for your machineEnter your Operator name and any relevant fields, then click Search.
  3. 3
    Select from the hierarchyLocate and click on the machine whose status you want to change in the left-hand hierarchy panel.

    Expand General InformationFrom the machine’s General page, click to expand the General Information section.
  5. 5
    Set the Status fieldIn the Status dropdown, select Active or Not Active.
  6. 6
    SaveClick Save in the top toolbar.
Tip: Changing the machine status never deletes it from your dashboard. To view machines of all statuses at once, set the Status filter in the search bar to Choose.
You’ll know it worked when…

“Completed Successfully” pop-up appears at the top-right of the screen. The Status field in General Information now shows your selected value.

    Select from the hierarchyLocate and click on the device you want to deactivate in the left-hand hierarchy panel.

    Find the Status fieldOn the main General section, scroll down to the Status field.

    Select Not ActiveClick the dropdown arrow next to Status and select Not Active.

    SaveClick Save in the top toolbar to apply the change.
Before you reactivate: A device left as Not Active cannot process credit cards. When the machine returns to service, return to Administration ► Devices and change Status back to Active.

If the activation option is greyed out, this is due to a compliance restriction on your account, not a permissions or browser issue. Contact Nayax Support directly for assistance.
You’ll know it worked when…

The Status field shows “Not Active” after saving. The device will no longer appear on your next billing statement. Verify at the start of your next billing cycle that the device has been removed from the statement.
